Privacy Policy
This Privacy Policy explains how Zendocs Inc. (“Zendocs,” “we,” “our,” or “us”) collects, uses, stores, and safeguards personal information in connection with the Zendocs mobile application, the Zendocs Console, and any other related services that we make available (collectively, the “Services”). Zendocs is a travel-technology platform designed to provide users with reliable and up-to-date visa requirement information, immigration guidance, and destination-specific compliance updates. At this stage of our development, we do not request or process sensitive identification data such as passport numbers, visa documents, or government-issued files. Instead, we handle only limited personal information necessary to operate our Services and to improve the experience of our users.
1. Information We Collect
When you use the Services, Zendocs may collect certain personal information that you choose to provide, such as your name, email address, and login credentials, when you create an account or subscribe to updates. We may also process information relating to your travel preferences, including your passport country and intended destinations, so that we can deliver accurate visa requirements and compliance information.
In addition to this user-provided information, Zendocs may collect technical data automatically from your device, including your internet protocol address, device type, operating system, and general usage patterns. This information is collected to ensure the stability, security, and optimization of our Services. Where you choose to communicate with us, for example, by submitting inquiries, providing feedback, or contacting our support team, we will collect and store the content of those communications. At present, Zendocs does not collect biometric data, identification documents, or any highly sensitive immigration-related files, and any expansion into such processing will be subject to a revised Privacy Policy with your explicit consent.
2. How We Use Information
The information collected is used for the primary purpose of providing and improving our Services. This includes delivering tailored visa requirement information, issuing real-time notifications of regulatory changes affecting your chosen destinations, and ensuring that the Services function as intended across different devices and operating systems. We also use this information to enhance user experience by analyzing engagement trends, refining our content, and resolving technical issues.
Zendocs may use the information you provide to communicate with you, including responding to inquiries, offering customer support, and sending important service updates. In jurisdictions where it is legally permissible, and where you have not opted out, we may also use your contact information to share news about product improvements, features, or promotional opportunities relevant to the Services.
All processing of information is carried out in accordance with applicable data protection and privacy laws, including the European Union’s General Data Protection Regulation (GDPR), the California Consumer Privacy Act (CCPA), and other comparable legal frameworks, where they apply.
3. Data Sharing and Disclosure
Zendocs does not sell, lease, or trade your personal information. The limited data that we process may be shared with trusted service providers who act on our behalf to support the operation of the Services. These providers may include cloud hosting services, analytics partners, and customer communication platforms. They are engaged under contractual obligations that require them to protect your information and to use it solely for the purposes of supporting Zendocs.
In rare circumstances, Zendocs may be compelled to disclose information if required to do so by law or in response to valid legal processes, such as a court order or regulatory request. Such disclosures will always be limited to the extent strictly necessary to comply with our legal obligations. Should Zendocs be involved in a merger, acquisition, or reorganization, information may be transferred as part of the company’s assets, but always subject to appropriate protections and user notice.
4. Data Security
Zendocs implements administrative, technical, and physical safeguards to protect the information it collects. These safeguards include encryption in transit and at rest, secure storage on trusted cloud infrastructure, and restricted access controls within the Zendocs Console. We also maintain ongoing monitoring and auditing procedures to reduce the risk of unauthorized access or misuse.
While we are committed to applying industry-standard security measures, no transmission of data over the internet or electronic storage system is entirely secure. Accordingly, we cannot guarantee absolute protection of information, but we continually review and enhance our security practices to minimize potential risks.
5. International Data Transfers
Because Zendocs is designed to serve a global community of travelers, your information may be transferred to and processed in jurisdictions outside your country of residence. We ensure that such transfers are conducted in compliance with applicable data protection requirements. Where required, we rely on Standard Contractual Clauses or other lawful transfer mechanisms recognized under GDPR and similar frameworks.
6. Data Retention
Zendocs retains personal information only for as long as it is necessary to achieve the purposes described in this Privacy Policy or as required by law. Account data is retained for the duration of your relationship with Zendocs and will be deleted when you request account deletion, subject to any longer retention obligations imposed by applicable regulations. Communication records and usage logs may be retained for a limited period in order to resolve disputes, maintain security, or fulfill legal obligations, after which they are securely deleted.
7. Your Rights
Depending on the jurisdiction in which you reside, you may have certain rights over your personal information. These may include the right to access a copy of the information we hold about you, the right to request correction or deletion of inaccurate or unnecessary data, the right to restrict or object to certain processing activities, and the right to data portability. Where processing is based on your consent, you also have the right to withdraw that consent at any time without affecting the lawfulness of prior processing. Requests to exercise these rights may be submitted to us through the contact details provided at the end of this Policy, and Zendocs will respond in accordance with applicable law.
8. Children’s Privacy
The Services are not intended for use by individuals under the age of sixteen (16). Zendocs does not knowingly collect personal information from minors, and if we become aware that such data has been provided without parental consent, it will be promptly deleted.
9. Future Expansion of Services
Zendocs is continuously developing its platform and may in the future introduce features that involve the processing of additional categories of personal information, such as scanned identification documents or direct visa application support. If such features are launched, Zendocs will issue an updated Privacy Policy and seek any consents required under applicable law before collecting or processing that data.
10. Updates to this Policy
This Privacy Policy may be revised periodically to reflect changes in our Services, in applicable laws, or in our data practices. Material changes will be communicated to users by email or in-app notification. Your continued use of the Services after such changes take effect will signify your acceptance of the updated Policy.
